Part-time Office Administrator and Personal Assistant (PA)
Northleach, Nr Cheltenham
Shawn Mustoe Ltd, Building Contractors, Plumbing and Heating Engineers based in Northleach are looking to recruit a part-time Office Administrator and Personal Assistant to join our friendly team.
About the Role: In this role, you’ll be key to keeping our office running smoothly while providing valuable support to the director. You’ll help with everything from client correspondence to ordering goods to sites to supporting the finance manager to ensuring that company vehicles are booked in for service. Location: Northleach (GL54 3FR)
Job Hours: Part time – 15-20 hrs per week, hours to be agreed.
Flexibility: We are very open to discussion on the days worked and start/finish times. We can also offer additional flexibility in school holidays if needed. The role is mainly on-site but some working from home can also be agreed.
What You’ll Be Doing:
Office Administrator:
● Keeping the office running efficiently by handling day-to-day admin tasks.
● Managing office and site supplies, ensuring our team has what they need to get the job done.
● Answering phones, responding to emails and handling other general correspondence in a professional and friendly way.
● Ensuring great client service by acting as their point of contact and prioritising communication.
● Coordinating with contractors, suppliers, and service providers for both office and site needs.
● Supporting the finance manager including inputting time sheets, cross-checking invoices and tracking expenses. This involves data input so a keen eye for detail is essential, there is no finance or accounting knowledge needed.
● Organising and maintaining both digital and physical filing systems, including important project documents.
● Supporting with health and safety documentation including arranging training and assisting with onboarding new team members.
Personal Assistant (PA):
● Supporting the director by managing calendars, scheduling appointments, meetings and site visits.
● Handling confidential information with care and professionalism.
● Assisting with occasional personal admin tasks for the director.
Who We’re Looking For:
● Experience: Experience in an office admin or PA role. Experience in construction would be a bonus (but not essential!).
● Education: A business administration or similar qualifications would be great, but we value experience and enthusiasm just as much.
● Tech Savvy: You’ll need to be confident with MS Office (Word, Outlook) and have a basic level of Excel expertise.
● Good Communicator: Excellent communication skills, both written and verbal, and you’ll need to be comfortable dealing with suppliers, clients and the team.
● Organised & able to work on own initiative: Ability to multitask, prioritise and keep on top of deadlines.
● Team Player: Positive, approachable and happy to pitch wherever needed.
What We Offer:
• Salary: £16 – 18 per hour negotiable depending on experience
• 15-20 hours per week over 3-5 days hours to be agreed
• 25 paid days holiday (pro-rata to hours) + 8 Bank Holidays
