Administration & Project Coordinator
Cheltenham

The House Ministry is an award-winning interior design studio specialising in high-end residential interior design and renovation across the Cotswolds and beyond. In short, we create beautiful and practical luxury family homes for time poor CEOs and senior executives. We have a distinctly different approach to interior design through our six-step process, our client centric focus, our support of British manufacture and support of local community as well as our use of technology and innovation to constantly seek to refine our customer service and streamlined processes. We go the extra mile to do things properly.
Role:
We're looking for a tech-savvy, organised, and detail-oriented friendly individual to join our team. You will be at the heart of our operations, ensuring everything runs smoothly and efficiently. While this is a vital and respected position within our team, it's important to note that it focuses on administrative and project support rather than design work. Therefore, it’s ideal for someone who thrives in these areas rather than looking to transition into a design role.
Responsibilities:
- Project Management Admin: Support the designers with scheduling, documentation, supplier communications, and logistics.
- Tech Admin: Maintain and troubleshoot basic tech tools, ensure the smooth operation of our software and training of it, and assist with other tech-related tasks.
- Financial Admin: Manage invoices, handle general financial administration, and support budgeting processes.
- Marketing Admin: Assist in the coordination of marketing activities, facilitating email marketing campaigns, and update of CRM and other systems.
- Assist with the installation of our projects prior to the big reveal to clients.
- Handle general administrative tasks such as checking the post, answering phones, and managing appointments.

- Articulate and Good Grammar: Clear communication is key. And you must be able to spell!
- Detail-Oriented and Organised: Precision in handling tasks and managing time, compiling reports.
- Tech-Savvy: Comfortable with technology and quick to learn new tools. Proficient with Macs, Microsoft Office suite, email marketing and automation using tools such as Active Campaign or similar, Canva, Asana or similar project management software, camera phone photos and videos.
- Self-Assured and Friendly: Confidence in your abilities and a friendly approach.
- Methodical and Diligent: A systematic approach to tasks and a strong work ethic.
- Resourceful and Diplomatic: Ability to solve problems and handle sensitive situations with tact and plenty of common sense.
- Collaborative Team Player: Works well with others and can also take initiative.
- Can-Do Attitude: Willingness to go the extra mile to achieve results.
- Office-Based: The role is office-based, in Cheltenham.
- Driving Required: The role requires a valid driving licence and access to your own car, as you will need to travel to various locations, including our storage unit.
Your Typical Day Might Look Like:
8:50am: Arrive at the office.
8:55am: Enjoy a quick chat with colleagues and grab a coffee before the workday begins.
9:01am: Log check emails and prioritise tasks for day, categorise emails to be dealt with & by whom.
9:30am: Compile weekly analytics report in Preparation for a team meeting to discuss ongoing projects & priorities
10:15am: Log actions from meeting, assign to staff members
10:30am: Assist with tech admin tasks and troubleshoot any issues.
11:00am Make a coffee for the team or have one made for you.
11:05am: Work through your priorities list.
1:00pm: Lunch break
1:30pm Coordinate with designers on project management schedules and trades communications.
2:30pm: Handle admin tasks, such as following up on goods orders, updating our CRM and co-ordinating email and marketing initiatives.
3:30pm: Follow up on administrative tasks and support office operations.
4:30pm: Wrap up the day's tasks and prepare a plan for following day.
5:00pm: Log off and head home!
PS: we didn’t include bathroom breaks in this, but obviously you are allowed them!
Although we have weekly meetings and there’ll be regular, repeating tasks - each day will have variety, and you’ll be in charge of your schedule as well as not being desk bound 100% of the time.

We are based in Eagle Tower, serviced offices in the centre of Cheltenham. There’s a café in the building as well as bike storage and showers. We are a small team, with the intention of growing. We are looking for someone who can be in-situ and ready to go by November.
