Families Co-ordinator

Stroud

Location: On-site. No hybrid or remote working.

Purpose of post:

At Allsorts, we believe that if the right support and information is given to all members of a disabled child’s family, the result is a happier, healthier family. We also believe that a disabled child or children with additional needs should have the same opportunities as their non-disabled peers. This post is instrumental in achieving this goal by leading the delivery of high quality and supportive activities for Allsorts families.

Job role:

To co-ordinate and support Allsorts’ family-focused provision, ensuring the smooth delivery of activities and resources that benefit the families of children and young people with additional needs. This includes managing the organisation’s Toy Library, coordinating volunteers, and leading activities, as well as supporting the wider team on family trips. The post-holder will also support families through signposting to other services and develop robust partnerships with local agencies.

Key responsibilities:

Toy and Specialist Equipment Library Management

1. Oversee the day-to-day running of the Toy Library, ensuring it remains a welcoming and accessible resource for members. Maintain and update the Toy Library’s booking database (Lend Engine) to ensure accurate records of lending and returns.
2. Alongside the Families Team, deliver weekly Toy Library lending sessions and provide guidance to families on the use of specialist equipment.
3. Develop the Toy Library’s inventory, ensuring toys and equipment meet the diverse needs of Allsorts members.

Activity co-ordination:

1. Take the lead role in running Families activities at the Allsorts Activity Hub, ensuring sessions are inclusive and cater to families with children of varying support needs, including those with complex needs.
2. Collaborate with the Head of Families to develop and deliver new activities, ensuring these meet the evolving needs of Allsorts members.
3. Assist in planning and delivering outreach sessions at other venues across Gloucestershire as required.
4. Lead the coordination of support worker rotas to ensure adequate staffing coverage at all times.
5. Monitor and adjust schedules as needed to address absences, emergencies, and service demands.

Volunteer co-ordination and management:

1. Recruit, train, and coordinate Families Team volunteers to support Allsorts’ activities and services
2. Develop the volunteer portfolio to enhance the range of support available for families and young people.
3. Produce and manage work rotas for volunteers and casual support workers to ensure adequate coverage for activities and services.
4. Provide regular check-ins to support the volunteers, ensuring their contributions align with Allsorts’ mission and values.

Family support and partnership development:

1. Provide signposting support for families, connecting them to relevant local services, partner organisations, and community resources.
2. Liaise with partner agencies to strengthen collaborative approaches and build a robust support network for Allsorts members.
3. Ensure member feedback informs service improvements and contributes to shaping new initiatives.

Administration and reporting:

1. Support the Head of Families in monitoring and evaluating Allsorts’ services, gathering feedback to measure outcomes and inform future planning.
2. Contribute to the organisation’s operational plans, budgets, and reporting frameworks.
3. Ensure all activities adhere to Allsorts’ policies and procedures, including safeguarding, health and safety, and data protection.
4. Assist with identifying opportunities for income generation to support the sustainability of Allsorts’ activities and services.
5. Collaborate with the Head of Families to accurately prepare payroll for bank staff, ensuring timely payments.
6. Conduct regular reviews and updates of risk assessments to ensure compliance and workplace safety.
7. Identify, document, and report workplace hazards to maintain a safe environment.

Housekeeping and presentation:

1. Take accountability for the housekeeping and presentation of the Activity Hub, ensuring it remains a clean, safe, and welcoming environment for members.
2. Coordinate and support volunteers and support teams to uphold high standards of housekeeping and contribute to maintaining the hub’s appearance and functionality.

Additional duties:

1. Represent Allsorts at meetings, events, and forums as required.
2. Support the wider Allsorts team with general duties and responsibilities that align with the organisation’s objectives.
3. Undertake other tasks commensurate with the role to ensure the successful delivery of Allsorts’ mission.

Person specification:

Essential
1. Experience coordinating volunteers or teams within a community or charitable organisation.
2. Strong organisational and administrative skills, including experience managing rotas and databases.
3. Ability to deliver inclusive activities for children and young people with additional needs.
4. Excellent interpersonal skills, with the ability to build positive relationships with families, volunteers, and partner organisations.
5. Knowledge of safeguarding principles and health and safety procedures.
6. Proficiency in IT systems, including databases and Microsoft Office applications.

Desirable
1. Experience working with children and families, particularly those with additional needs.
2. Familiarity with toy libraries or similar resource-based services.
3. Experience in monitoring and evaluating service delivery.
