Receptionist/Administrator

Hours
Part Time – 21 hours per week, Term Time only. This is a temporary position until the end of the
school year (Friday 12th July 2024).
We have a fantastic opportunity for an organised, enthusiastic Receptionist/Administrator to join our friendly team.
In this role you will have the opportunity to work in a varied role primarily as a receptionist and also playing a key role in the front office team providing administrative support in a range of areas.
Our front office team is the ‘face’ of our school, with the receptionist being the first point of call for visitors, parents, staff and pupils. As part of this team you will be welcoming, personable, helpful and able to represent the school in a professional and friendly manner.
To be a success in this role, you will be able to work flexibly to adapt to the variety of the role, be organised, love to multitask and have a ‘can-do’ approach to your work.
We are flexible regarding the working pattern of the role, however two of the days to be worked will be a Tuesday and Wednesday each week.

Job Description
Role Overview
As a Receptionist/Administrator at Pate’s Grammar School, the role holder will provide a professional,
efficient and welcoming service to all our visitors and students when working on reception, whilst also playing a key role as a member of the Front Office team, undertaking administration duties as required.
Core Responsibilities
- Management of the school reception, providing a professional and efficient service at all times.
- Welcoming all in person visitors to our school, ensuring the required visitor processes and sign in procedures are adhered to.
- To help pupils, staff and visitors with any enquiries they may have.
- Answering of telephone calls promptly and dealing with telephone enquiries in an efficient manner.
- Management of whole school inbound and outbound mail.
- Working as part of the school front office team, providing general administration support to include answering the telephone, reprographics and any other tasks as required to ensure the smooth running of the school office.

Qualifications
No specific qualifications are required.
Experience, Skills and Knowledge – Essential
- Previous experience in an Administration role.
- Previous experience of dealing with the public, including in person, on the telephone and by email.
- Excellent customer service and communication skills.
- Excellent organisational skills.
- Competent in IT systems, including Word, Excel and Outlook.
- Attention to detail and accuracy.
- Able to interact positively with pupils, staff and visitors.

- A proactive approach to your work.
- Ability to remain calm under pressure.
