Project Coordinator
Gloucester
Mars Maintenance is a well-established reactive maintenance company in the retail sector covering the Southwest of England. We have a large team of multiple experienced engineers covering trades including Fire door checks, Electrical, Plumbing, Carpentry, Roofing, Building works, Decorating, Flooring and more, serving all major high street brands and domestic premises to the region. Managed internally by a dedicated helpdesk located in Gloucester.
You will report directly to the General Manager.
Your responsibilities as Contracts and logistics/engineer Coordinator will be, not limited to:
- Daily planning and monitoring of the engineers and their workloads.
- Monitoring of works to ensure all works are completed within the time frame requested.
- Allocation of reactive emergency works.
- Ensuring all parts/materials are ready for the engineers to collect each day.
- Liaising with clients and sites and schedule works required out of hours.
- Booking works with shopping centers. Sending RAMS and portal requests.
- Inputting and allocating all reactive jobs daily.
- Updating client with eta’s for scheduled works.
- Provide clients with updates.
- Taking client calls promptly and professionally.
- Monitoring emails and responding to client enquiries to deliver a seamless, high quality client experience.
- Coordinating project team activities and monitoring progress.
- Manage multiple projects in tandem
- Producing and presenting clear and concise project status reports.
The ideal candidate will demonstrate the following:
- Experience on all Microsoft systems.
- Excellent verbal and written communication skills with an attention to detail.
- Professional telephone manner.
- Proven experience of projects from survey through to project closure
- Good organization and administration skills.
- Ability to self-motivate.
- Have a problem-solving attitude and relish the challenge that obstacles may present.
- Experience of use of Microsoft word/excel/powerpoint
- Being able to work quickly and efficiently on reactive calls.
- Experience working in a fast paced environment and happy to support the wider team
