Pate’s Grammar School Clerk to Governors
Cheltenham
Salary NJC Pay Scale 15 – 20, £29,093 to £31,586 per annum (FTE) (£4,717.78 to £5,122.05 pro rata).
Hours Part Time – an annualised hours contract of 312 hours per year (an average of 6 hours per week), with most of these hours to be worked around the Governing Body meeting calendar of currently 15 meetings per year).
We have a fantastic opportunity for a highly organised, enthusiastic and self-motivated clerk to work in this varied and interesting role at our school.
The clerk to the governors will ensure the smooth running of the governing board, preparing agendas and meeting papers, taking accurate and well-constructed minutes, giving administrative support, keeping records and up-to-date information on policies and date of reviews, and providing procedural and legislative advice to the governing board.
To be a success in this role you will have excellent organisation skills and the ability to communicate with a wide variety of people as you will be liaising with the voluntary board of Governors, the Headteacher, members of the Senior Leadership Team and other school staff.
You will be proactive, efficient and have exceptional attention to detail with excellent interpersonal skills Professional, friendly and approachable. You will be able to deal with confidential matters. You will have an interest in education and thrive on supporting the school and governing body to make a difference to the education of the children at Pate’s.
If you have previous clerking experience this would be preferred, however we are also keen to hear from you if you are a highly effective administrator with experience of minute taking.
The hours in this role are to be worked flexibly around the fluctuations in the work of the role, with the majority of the work being around the meeting calendar.
The hours can be worked from home, with all meetings to be attended in person. The role holder can complete work from school should they wish. All of our Full Governing Body and Committee meetings are held in the evenings therefore the successful candidate will be required to be available to attend these.

The Governing Board
- The Governing Board at Pate’s Grammar School are an actively engaged group of volunteers.
- The Governing Board consists of 15 Governors.
- The full governing board meet four times a year.
- There are three committees that meet three times a year, Finance and Facilities, People and Wellbeing and the Education Committee.
- There are 15 scheduled meetings per year in total, including the above. Meeting are held in person at school.
- Meeting dates are planned by the Clerk at the end of the academic year for the following academic year.
Job Description
Role Overview
As the Clerk to the Governing Board, the role holder will provide administrative and procedural guidance and support to ensure the effective running of the board, ensuring the school and governors are supported in making a difference to the education of children at Pate’s.
Core Responsibilities
- Provide a highly effective administration service to the Governing Board, to include:
- Organisation of the annual calendar of meetings and agendas.
- Pre-meeting work, for example, preparation of agendas, collation of required documents and ensuring meetings are quorate.
- Attendance at meetings, drafting minutes and documenting actions, recording attendance and apologies.
- Post meeting, finalising minutes for review and following up with any agreed actions.
- Clerking of any required appeal committees/panels, meetings of members and the Trading Company and any other ad hoc meetings as required.
- Maintenance of Governor information, to include, for example, terms of office dates, declarations of interest, meeting attendance rates and updating of Companies House and the school website as required.
- Maintenance of governance paperwork on the schools SharePoint system.
- Provide advice to the governing body on its core functions and Department for Education (DofE) governance advice, including the Governance Handbook and Competency Framework for Governance.
- Administration of new Governor recruitment to include advertising, appointment and induction, ensuring that all relevant pre appointment checks are completed, for example Disclosure and Barring Service (DBS) checks.
- Organisation of required Governor training and maintaining records of this training.
- Keep up to date with current educational developments and legislation affecting school governance, undertaking appropriate and regular training and development to maintain expertise and improve practice.
