Accounts Assistant
Cheltenham
Department & Division & Location: Finance, Operations, Cheltenham
Reports to: Senior Financial Controller
The Accounts Assistant is responsible for supporting the finance department. This includes maintaining accurate and timely financial records, responsible for various tasks relating to accounts payable, expenses, company cards, bank reconciliations and month end. This role is essential in ensuring efficient and accurate financial operations within the company.
Key responsibilities which may include:
Accounts inbox
- Manage the inbox
- Answer email queries and escalate where required
Accounts Payable
- Process invoices onto the accounting system accurately and on a timely basis paying particular attention to nominal and VAT
- Managing approval workflow for bills and purchase orders
- Sending out remittances as required
- Supplier Statement reconciliation
- First point of contact for all internal and external queries regarding AP
Corporate Charge Card
- Monitor, process and review spend for all card holders
- Follow up for missing receipts
- Ensure VAT is correctly accounted for on expenditure
- Ensure timely and accurate processing
Expenses
- Monitor, process and review spend for all claims
- Follow up for missing receipts
- Ensure VAT is correctly accounted for on expenditure
- Ensure timely and accurate processing
Bank (Santander)
- Undertake daily bank reconciliations
- Escalate all unreconciled items
Accounts Receivable
- Raise sales invoices as required (Metadata, Partner...)
Management Accounts
- Prepare accruals, prepayments, accrued income journals
- Maintain fixed assets register and prepare monthly depreciation/ amortisation journals
Other
- Answering telephone
- General filing and administrative duties
- Assist with financial year end
- Other ad hoc tasks as required
Qualifications:
- At least 2 years of experience in a similar finance or accounting role.
- Proficiency in accounting software (Xero) and Microsoft Excel.
- Basic knowledge of accounting principles and practices.
Skills and Competencies:
- Excellent organisational and time-management skills.
- Strong attention to detail and accuracy in data entry and financial reporting.
- Effective communication and interpersonal skills.
- Ability to work independently as well as part of a team.
- Problem-solving skills with a proactive approach to managing tasks.
