THEATRE MANAGER
Cheltenham
RESPONSIBLE TO: Board of Trustees
RESPONSIBLE FOR: All staff
HOURS WORKED: 35 hours pw
We are looking for a vibrant and enthusiastic theatre manager to run an independent 180 seater performance venue in the heart of Cheltenham. The theatre manager provides overall leadership and direction, ensures the smooth running of day-to-day operations, takes responsibility for bookings and acts as the public face of the charity.
We are seeking an organised, self-motivated individual with excellent attention to detail and a good sense of humour. You must have knowledge of and passion for the arts sector and demonstrate an ability to juggle a range of tasks, act with autonomy and be an excellent communicator.

Essential
- Excellent communication skills, both written and oral
- Excellent organisation and prioritisation skills
- General administrative experience
- Excellent proof-reading skills and attention to detail
- Resourceful with good problem-solving skills
- Ability to remain calm under pressure, multitask and work to deadlines
- Ability to work independently as well as collaboratively
- Experience of using social media
- Proficiency in Microsoft Office
- Ability to manage and motivate small teams
Desirable
- Prior experience of running theatres or performing arts venues
- Knowledge, understanding or experience of arts/theatre/cinema operations
- Customer service experience
KEY TASKS AND RESPONSIBILITIES:
Programming
- Programme the use of the venue’s facilities for regular and one-off corporate, community and professional hirers
- Negotiating with companies for all artistic events, activities and hirers
- To develop partnerships and activities with other organisations/networks in order to fulfil its programming policy, community reach and audience development
Staffing/HR
- Line manage all paid staff: finance assistant, theatre technician (in conjunction with technical manager), box office staff, cleaner, duty managers and, where necessary, volunteers
- Carry out appraisals for all paid staff, in conjunction, where necessary with chairman, finance trustee and/or technical manager
- Schedule rotas for box office staff and duty managers and, where necessary, liaising with volunteer coordinators
- Manage holiday requests with the calendar to ensure appropriate cover at all times and maintain personnel files with regard to sickness etc
- Organise first aid training for staff or volunteers when required
- Organise DBS checks for all staff or volunteers when required
Box Office Management
- Oversee the proper function and use of the Box Office system (Oscar) including inputting of all events in preparation for sales and the monthly marketing email ∙
- Have sufficient understanding of the Box Office system (Oscar) to be able to provide box office services in an emergency (sickness cover etc)
Marketing
- Work with external print and design companies to produce brochure 2/3 times per year and supervise distribution to postal mailing list and display racks around county
- Liaise with marketing manager to ensure that press, social media channels and theatre website are updated to promote the work and programme of the theatre, maintaining the house style of communication at all times
- Assist marketing manager in ensuring all external display boxes and interior notice boards, plus any flyer displays, are kept up-to-date to help promote forthcoming events
- Assist with proof reading of all printed publicity material for external marketing personnel
- Undertake or arrange any localised PR requirements requested by external programmers/marketers
Building Administration
- Have an overview of theatre maintenance requirements and liaise with technical manager over their repair/replacement
- Procurement and management of all third party contracts and suppliers to ensure best value and timely completion with regard to other activities in the building ∙ Have a thorough understanding of the building’s layout so as to assist fire brigade on familiarisation visits
- Manage door coded entry systems in conjunction with technical manager ∙ Liaising with duty managers and technical staff to schedule fire drills to include simulated auditorium evacuation with audience
- Manage our relationship with our insurance and energy brokers with annual/bi annual renewals
General Administration
- Accurately maintain Google calendars of events to help inform all staff of what is booked in
- Handle rehearsal room booking enquiries and bookings and liaising with finance assistant to ensure invoicing requirements
- Liaise with volunteer coordinators to ensure volunteers receive the necessary training from an external training partner
- Liaise with bar manager and duty managers over requirements for additional supplies for special events
- Manage purchase of stationery equipment, postage stamps, equipment, tea and coffee supplies and other purchases as may be required in line with theatre’s delegated authority levels
- Provide general administrative support to the board of trustees as required
Compliance
- Ensure all policies and procedures are followed and liaise with external providers as necessary regarding annual updates and reviews
- Maintain records where relevant to health and safety, accident book etc
- Support the filing of annual returns with Charity Commission
- Ensure premises licence is maintained with borough council
- Ensure filing of performing rights licence information
External Relations
- Engage and maintain good relationships with all hirers/visiting companies, providing advice and support as necessary
- Act as an ambassador for the Playhouse to the local community
- Comply with and champion the requirements of the General Data Protection Regulation (GDPR)
