Conference & Events Office Manager

Cheltenham

Between the Cotswold’s highest point and the stunning green gallops of Cheltenham’s world-famous racecourse, the luxury 5* Ellenborough Park Hotel & Spa is steeped in history and offers 90 acres of rustic countryside.

Are you the Conference & Events Manager we are looking for to join our friendly and established Sales & Marketing Team? Can you become an integral part of the hotel management team? You will be responsible for managing a team of Events Coordinators and your goal is to maximise revenue in all areas. Reporting directly to our Director of Sales & Marketing you will be provided with all the support you need to achieve your targets.

General Scope

To be totally customer focused by consistently delivering excellent customer service with an informed, friendly and effective approach.

To ensure Conference & Events business targets (including conference rooms) for revenue, occupancy and profit are achieved to budget. To grow the business through proactive selling and effective conversion of all enquiries, using the agreed company system maximising profit at all times.

Growing the Business

To positively approach sales opportunities in order to maximise sales revenue in order to meet and exceed budgeted sales targets for the department.

To keep all department Team Members sales focused and maintain a selling culture throughout the department.

To ensure that the reservations for conference & events are solid and accurate through:

Carrying out a full strip and check of the correspondence against the diary every 3 months, for the next 12 months.

Sending out contracts for all bookings (and ensuring that an activity or reminder is created & completed when the contract is sent out).

Confirm that the bedrooms are booked for the conference by using the procedure laid down for block/group bookings in the PMS.

When the contract is returned changing the status to definite in the PMS and filing the paperwork in the correct file.

Ensuring effective chase systems are in place using the relevant function in the PMS.

Maximising conversion of enquiries through:

The correct telephone techniques being used within the revenue office team.

Supporting all relevant team members so they can take a basic reservation through which ever system used and handle an initial conference & events enquiry.

Reviewing the enquiries and tentative bookings each week to ensure that the appropriate next action is in place to convert the enquiries the hotel wants.

Ensuring that outside revenue office hours, enquiries for reservations and conferences can be handled effectively.

Training and providing team members with the appropriate level of product knowledge.

Ensuring:

Conference and Events enquiries are handled according to the standards laid down.

Work with the Revenue Manager to plan the maximisation of the revenue from rooms and conference & events space.

Review incoming enquiries to identify the business that is most suitable for the hotel.

Monitor appointments for effectiveness and results

Carry out gap analysis – or from information provided produce a plan of action required for filling identified gaps

The PMS system is operated to the required standards for the effective management of the Conference & Events business.

Review competitor information on SWOT analysis forms, and to organise regular visits to competitor hotels as required.

Working with the Director of Sales to support with the creation and implementation of the Company Action Plan and Sales Action Plan.

Candidate Requirements:

Minimum of three years previous experience in a Weddings or Events sales role within a hotel;

A team player with excellent organisational and time management skills;

Have the ability to lead and create a team environment which promotes good morale and ensures a high level of commitment and pride in the hotel.

Impeccable attention to detail;

Good understanding of revenue and yielding of rates

Ability to work under pressure, whilst maintaining a positive and can-do attitude;

Guest focused with a genuine passion for delivering sensational service

Excellent spoken English and have immaculate presentation skills
