Executive Assistant - MM745
Gloucester
Our very well established, successful, and constantly developing client based in Gloucester currently has a vacancy for an Executive Assistant to join the team on a full time, permanent basis. This is a great opportunity to join a company that has a low turnover of staff and offers internal training and development.
In this role, you will work alongside other Executive Assistants in supporting the senior team, managing diaries, filtering communications and ensuring the SLT team time is used efficiently, and relevant projects are supported.
This is a busy office, with numerous projects timelines, and shifting priorities, therefore the successful individual will be highly organised and professional, with excellent attention to detail and strong office and interpersonal skills.
Responsibilities
- Manage senior leadership staff diaries effectively.
- General inbox management.
- Administration and filing, maintenance of up-to-date, accurate records.
- Deal with general enquiries for senior team, fielding when necessary, and ensuring time sensitive tasks highlighted as priority.
- Facilitate meetings and conferences, ensuring a smooth process for both internal and external contacts, ensuring all relevant paperwork is available, and refreshments provided if necessary.
- Proof reading and redrafting communications for team.
- Maintain relationships with third party suppliers and service providers.
- Learn company expense system with the aim of training others.
- Process invoices.
- Coordinate, support and organise company events.
- Ensure projects are supported, tracking updates where necessary.
- Manage complex travel arrangements and expenses.
- Handle confidential matters with discretion and professionalism.
- Any other ad-hoc duties as required to supporting the business and team.

Hours: Full time: Monday – Thursday, 8am – 4:30pm + early finish Fridays at 1pm! (Fully office based)
