Distribution Supervisor
Cheltenham
We are a well-established local, independent publishing company based in Cheltenham seeking a full time Distribution Supervisor to join our team.
Job Purpose:
To aid the Distribution Manager in the administration, management and smooth running of the entire distribution operation.
Key Responsibilities and Accountabilities:
MONTHLY ACTIVITIES - Due to the nature of the business, we work on a monthly cycle. As a rough guide, the activities will be broken down as follows:
Week 1
- Receipt of magazines from printer over 3 days (8am starts).
- Magazines broken down into individual routes, and delivered to distributors by delivery drivers.
- Recording of ‘completion’ texts/calls/emails from each distributor and soliciting information as necessary.
- Responding to any queries/problems with the distribution of the magazine.
Week 2 & 3
- Preparing the distributor wages for the payroll department.
- Organising the following month’s distribution, including hiring new employees (requiring late finishes which may be up to 7.30pm), arranging holiday cover, processing paperwork, breaking down any leaflets to be distributed during the following month.
- Ensuring stock levels are maintained.
Week 4
- Final preparation for the ‘distribution week’ (week 1). This includes, but is not limited to, printing of ‘route cards’, receiving payslips from the payroll department and preparing each route’s monthly ‘pack’, planning the ‘distribution days’, arranging last-minute cover.
- Planning delivery routes for drivers.
- Maintaining Distribution Week records.
MANAGEMENT ADMINISTRATION
- Ensuring all routes are distributed each month.
- Planning ahead – ascertaining whether distributors are going to be on holiday or would be available to cover additional routes as early as possible.
- Accurate maintenance of the company’s systems.
LEAFLET DISTRIBUTION
- Taking bookings and liaising with customers regarding all aspects of leaflet distribution.
- Preparing paperwork and planning/implementing the breaking down of leaflets.
AD-HOC ACTIVITIES
- Development of the company’s distribution processes/activities.
- Providing information to other members of office staff when required.
GENERAL
- Communicating regularly and clearly with distributors to keep them informed of delivery dates and any other necessary information.
- Understanding and using The Local Answer’s (the Company’s) procedures and systems (manual and electronic).
- Monitoring and reporting on individual tasks and providing relevant management information.
- Attending team meetings as necessary.
- Managing personal time and productivity.
Candidates must meet the following criteria:
Essentials:
- Have strong computer, communication and interpersonal skills.
- Possess a good standard of English and Maths.
- Be a logical thinker, highly organised and task-driven.
- Be able to manage own tasks, maintain good time management and work under pressure to tight deadlines.
- Be self-disciplined, organised, proactive and instinctively keen to take ownership/responsibility.
- Have a desire to learn and adapt (the tasks are many and varied).
- Longevity (we are looking for a long-term position).
Desirables:
- Be confident with a variety of software packages, including Microsoft Office. If necessary, further training will be provided.
- Have experience of using a CRM system.
- Have local knowledge of Gloucestershire (geographical – e.g. towns/villages).
What's on offer?
- 37.5 hours per week.
- Normal working hours – Monday to Thursday: 9:00-5.30pm (including 1 hour break); Friday: 12.30-5pm (including 1/2 hour break).
- For three days during distribution week each month the start time will be 8am (additional hour to be taken in lieu).
- At certain times during the month later finishes, up to 7.30pm, will be required to perform sign-up meetings with employees (additional time to be taken in lieu).
- £24,000 per annum rising to £26,000 per annum after 6 months (performance-dependent).
- 25 days’ holiday per annum (5 of these must be taken around Christmas when the office shuts) + Bank Holidays.
